Privacy notice for business contacts
Who we are
The company responsible for your data (the “controller”) is:
- Synexa Business Solutions, S.L., Spanish company ID (CIF) B93978393
- Address: Paseo de Martínez Campos 26, 9.º 2, 28010 Madrid, Spain
- Email: hola@synexabusinesssolutions.com
We are a small company based in the European Union, so the EU General Data Protection Regulation (GDPR) and Spanish data protection law apply to how we handle personal data, including the data of contacts in the US. This notice gives you the information required by Article 14 of the GDPR, which applies when we did not get your data directly from you.
What data we use
- Business contact details: the business name, the business email address, and the first name of the owner or contact person when the business publishes it.
- Other business details published on the business's own website, such as the town, phone number, services offered and opening hours.
- Public facts about the business's website or listings, which we use to make the offer relevant (for example, that the site is hard to use on a phone).
- If we prepare a free homepage mockup or a free video for you, the text and photos already published on your website or listing. These previews are private, not indexed by search engines and deleted after 30 days or as soon as you ask.
- Anything you tell us if you reply.
We don't collect sensitive data, such as health or financial information.
Where we got it
From your business's own public website or, occasionally, its public listing in a business directory such as the Better Business Bureau (BBB). If you ask, we'll tell you exactly which page we took your details from.
Why we use it, and on what basis
Purpose: to send you a one-to-one business offer (a website rebuild or listing videos) that we think fits your business, with up to two short follow-ups, and to answer you if you reply.
Legal basis: our legitimate interest in offering our services to businesses (Article 6(1)(f) GDPR). We think this is reasonable because we only use business contact details that your business chose to publish, we write one-to-one and only about services that relate to your business, and you can opt out at any time with one reply. A summary of our assessment is available on request.
If you become a client, we use your data to do the work and to invoice you (the contract, Article 6(1)(b) GDPR), and we keep invoices because Spanish tax law requires it (Article 6(1)(c) GDPR).
We don't make automated decisions about you and we don't build profiles.
How long we keep it
- If you don't reply: we delete your details when the email sequence ends, and in any case no later than 12 months after we collected them. We keep only your email address and website address on a do-not-contact list, so that we don't email you again.
- If you opt out: we delete your details and keep only your email address on a suppression list, so that we never contact you again.
- Previews (mockups and free videos): deleted after 30 days, or the same day if you ask.
- If you become a client: for as long as we work together, and afterwards for the periods required by Spanish tax and commercial law (generally six years for invoices and accounting records).
Your rights
You can ask us to:
- stop contacting you (objection to direct marketing; we always honor this);
- show you the data we hold about you (access);
- correct it (rectification);
- delete it (erasure);
- restrict how we use it, or give you a copy in a portable format.
How: reply “remove” to any of our emails, or write to hola@synexabusinesssolutions.com from the address we contacted. We answer within one month, and it's free.
